What your team can do
A signature on a docket does not tell you whether every item arrived. Keep the expected quantities, the check and the problems in one delivery record.
Upload or take a photo of the invoice to extract delivery details. Review the scan against the document and correct it before the team starts checking.
Staff check the actual goods, mark items OK and record the missing quantity when a delivery is short. Each item gets a clear result.
Flag damaged goods and add damage photos or notes. Keep that evidence beside the affected item so the person contacting the supplier can see the issue.
See which deliveries have outstanding problems and who checked them. When the issue is dealt with, update the delivery so the team knows where it stands.
How it works
The missing two cartons are easy to forget during a rush. A short, consistent check leaves something useful for the next person.
Add the supplier and invoice. Check that the item name and expected quantity are right: in this example, 24 cartons of oat drink.
The checker counts 22 cartons and records two as missing. Check each remaining item rather than marking the whole delivery correct.
Add an item note explaining the shortage. For damaged goods, photograph the damage. The record includes who performed the check.
Use the recorded quantities and evidence when you contact the supplier. Agree the credit or replacement with them and update the delivery once it is resolved.

Evidence, with the context attached
In the snapshot verified on 9 October 2026, 72 of 625 checked deliveries at one independent café had a recorded problem. The benchmark explains how deliveries were counted and what the sample can tell you. It does not measure refunds, money saved or an industry-wide problem rate.
