Checking deliveries

Tick each item off against the invoice as it comes in. Anything short or broken gets recorded with a photo, so you have the evidence when you ask the supplier for a credit.

Last updated: 14 October 2026

Start checking

  1. Go to Deliveries and tap the delivery that has turned up.
  2. Under Who is checking?, tap your name. You can’t mark items until someone has, which is how a shared tablet knows who did the check.
  3. Work down the list and mark each item.

There’s no “mark as arrived” step. Just open the delivery and start: checking the first item marks it as arrived, and managers get the 📦 Delivery arrived alert then.

OK, Damaged or Missing

  • OK: the whole line arrived and is fine.
  • Missing: some or all of it didn’t come. In the How many? box, type how many are missing (all 6 if none of it came). The check won’t close until you do.
  • Damaged: some of it arrived broken, leaking or out of date. In the How many? box, type how many were damaged, then tap Add photos and take a picture. A damaged item needs both a quantity and at least one photo.

Tapped the wrong one? Tap the same button again to undo it, or tap a different one. To add a note to any item, such as “driver says the rest is coming Friday”, use the note button on its row.

Photos

Take the photo straight from the camera, or choose one you’ve already taken. You can add several to one item. Photos are made smaller on your phone before they upload, so they don’t eat your data. Get the label, the damage and the delivery note in the shot if you can: they are what the supplier will ask for.

Finishing the check

  • Everything OK: tap Complete delivery. The delivery shows as stocked and managers get ✅ Delivery checked, all correct.
  • Anything Damaged or Missing: once every item is marked, the delivery shows as incomplete by itself and managers get ❌ Delivery has problems, listing what’s wrong. Tap Save & close.
  • Called away halfway? Tap Save & close. Everything you’ve marked so far is saved, and anyone can carry on where you left off.

For managers: sorting out the problems

Message supplier

On a delivery with damaged or missing items, press Message supplier. Unpickle writes a draft asking for a credit or replacement, listing each problem item and how many, with links to the damage photos. Read it, change anything you like, then press Open in email to send it from your own email app, or Copy to paste it somewhere else. Redraft writes a fresh version. Nothing is sent from Unpickle itself.

Mark resolved

Once the supplier has sent a credit or the missing items have turned up, open the delivery and press Mark resolved.

Edit, delete or start again

Managers can edit or delete a delivery from the buttons at the top of the check screen. Reset check puts every item back to unchecked and deletes its notes and damage photos, so only use it if the check really needs doing again.
