Getting started

Four things to do in your first week. Your dashboard shows the same four steps in a Getting started card and ticks each one off as you go.

Last updated: 14 October 2026

1. Invite your team

Open Settings (the cog at the top right of the manager portal), then Staff management, and press Add staff.

  • Individual staff: enter their first name and email. They get an email with their login and a temporary password, and can change it from Your account once they’re in.
  • Shared / kiosk login: one login for a till tablet or a shop phone, with no email of its own. The app asks who is doing each job, so everyone still gets the credit. See setting up the shared iPad.

To add another manager, add them as individual staff first, then change their role to manager on the same page.

2. Set up your lists

Opening checks, closing checks, cleaning rotas: anything your team does on a schedule. Go to Tasks and press Add task.

  • What needs doing? Give it a short name, like “Opening checks”.
  • Who? Leave it as Anyone, or pick one person.
  • When: leave it on Just once and pick the day it is due, or choose Repeats. Under Repeat every pick Day, Week (then the days, for example Monday to Friday), Month or Custom. You don’t set a due date for a repeating task: a weekly or monthly one is due the day before the next one opens (a task for every Monday can be done any day up to Sunday), and one on a few days of the week is due the day it opens. The dates listed underneath show what you are about to make. Repeating tasks stay on their days: “every Monday” is always a Monday, even if last week’s was done late.
  • Add subtask to break it into steps (press Enter to start the next one), and tick Needs a photo to finish if you want proof, such as a photo of the fridge thermometer.

To see all your repeating tasks, tap ⋯ on the Tasks page, then Repeating tasks. Rather not type it all in? Email a photo of your paper list to hello@unpickleapp.com and we’ll set it up for you.

3. Log your next delivery

Go to Deliveries and press New delivery. Type the Supplier (a new supplier is added for you), pick the Expected delivery date(s), and add a Photo of the invoice or order confirmation. Unpickle reads the photo and fills in the items for you to check over. Then press Create delivery.

When it turns up, whoever is on shift opens it and ticks the items off. See checking deliveries.

4. Get alerts on your phone

Go to Settings, then Notifications, and press Connect Telegram. You’ll hear about short deliveries and low stock as they happen. See Telegram alerts for the step-by-step and what each alert means.

You can also turn on push notifications for the device you’re using, from Your account (tap your name at the top right).

What your team sees

Staff sign in at unpickleapp.com and land in the staff portal, built for phones and tablets: today’s tasks, deliveries to check, stock to report and your shop’s knowledge base. Managers can switch between the two portals at any time with the toggle at the top of the screen.
